Custom Ceramic Aroma Diffuser – How We Sourced 216 Sets with an Existing Mold for a UK Brand
At Yue Lian Technology, we help brands source products beyond just glass and ceramic containers. Sometimes the request is more specific – a finished ceramic aroma diffuser with a unique outer cover, in a quantity that most factories won’t accept.
This is the story of how we helped a UK client get exactly what they needed – without paying a mold fee.
The Challenge
The client wanted 216 sets of ceramic aroma diffusers (100ml) as finished products. The diffuser itself had a distinctive ceramic outer cover that gave the product its unique look and feel.
The difficulty was twofold:
- The ceramic cover design was not a standard stock item
- Most ceramic factories require a minimum of 500 pieces for custom orders
The client’s budget and storage capacity could only accommodate 216 sets. They didn’t want to hold 500 units of inventory.
We started searching.
The Search – 15 Factories, Then 20
We reached out to our existing network and expanded beyond it. The first 15 factories all gave the same answer: “Custom ceramic cover requires a new mold. MOQ 500 pieces minimum.”
We did not give up. We searched further – contacting more than 20 factories in total.
Finally, we found one factory that had an existing mold for a ceramic cover that closely matched the client’s design. Because the mold already existed, there was no mold fee – and the factory was willing to accept 216 pieces as the MOQ for the complete diffuser sets.
Pricing & Timeline
The unit price from this factory fit well within the client’s budget. In fact, it was significantly lower than buying similar products from local retail channels in the UK.
- Payment terms: 50% deposit, 50% balance before shipment
- Lead time: approximately 35 days (ceramic production is a slow process – molding, drying, glazing, firing)
- The client accepted both the timeline and the price
Production & Quality Control
Throughout the 35‑day production period, we stayed in close communication with the factory. We sent the client photos and videos showing the ceramic diffusers in progress.
The client was very satisfied with the quality and finish.
Once all 216 units were completed, we arranged DDP air freight (door‑to‑door, including customs clearance and tax). The shipment took 7–15 days to arrive at the client’s UK location.
Packaging – Zero Breakage
We paid special attention to packaging.
- Each diffuser was placed in its own brown paper box (inner packaging)
- Inside the box, PE foam / pearl cotton was used to protect the ceramic cover
- All individual boxes were then packed into a strong export carton (outer packaging)
This careful packaging ensured zero breakage – all 216 sets arrived intact.
After‑Sales – Honest and Fair
After receiving the shipment, the client reported that 3 units had electrical issues (the diffuser did not work – possibly a short circuit).
Since the product was already overseas, we could not physically inspect the units to determine the exact cause. However, we took responsibility and communicated with the factory.
The factory offered two options:
- Replace the 3 units on the client’s next order, or
- Deduct the equivalent amount from the next order
The client chose the deduction option and agreed to this arrangement.
We believe that how you handle problems is as important as how you deliver the product. Being transparent and responsive to after‑sales issues builds long‑term trust.
